Platforms

What we buy, and what we need from you.

Five answers get you a written offer. Two of them are on this page: the platforms you run, and roughly how many gigabytes sit in each. Find your systems below, note the figure, and send it back through the sizing form.

What we need before the call

Five things. Send them through the sizing form and the written offer is ready before we speak.

  1. 1
    Employee count
  2. 2
    Industry
  3. 3
    Years in business
  4. 4
Every platform you use from the list below
  5. 5
Rough size in GB of each one
1

Email and calendar

Mailbox archives, shared inboxes, sent items and threads. The densest category in almost every engagement.

  • Google Workspace (Gmail)Where to read the size:admin.google.com → Reports → Apps reports → Accounts → Storage used
  • Microsoft 365 (Outlook, Exchange)Where to read the size:admin.microsoft.com → Reports → Usage → Email activity and Mailbox usage
  • Zoho MailWhere to read the size:Zoho Mail Admin Console → Storage
  • Self-hosted mail (IMAP, cPanel, Exchange on-prem)Where to read the size:Ask whoever runs the server for the mail store size on disk
2

Chat and messaging

Channel history, direct messages between staff, threads and files shared in them. Multi-party disagreement and correction is worth several times more than clean documents.

  • SlackWhere to read the size:Workspace settings → Analytics → Overview shows messages and files; storage sits under Billing → Plan
  • Microsoft TeamsWhere to read the size:Counted inside Microsoft 365 → Reports → Usage → Teams
  • Google ChatWhere to read the size:Included in Google Workspace storage reports
  • Discord (company servers)Where to read the size:No admin figure; estimate from channel count and years active
  • WhatsApp BusinessWhere to read the size:Phone settings → Storage and data → Manage storage
3

Meetings and transcripts

Recordings, transcripts and AI notes from internal meetings. Spoken operational language is the scarcest category on the market right now.

  • ZoomWhere to read the size:zoom.us → Admin → Account Management → Recording Management shows total storage
  • Google MeetWhere to read the size:Recordings land in Drive; see the Drive storage report
  • Microsoft Teams recordingsWhere to read the size:Stored in OneDrive and SharePoint; see those usage reports
  • GongWhere to read the size:Ask your Gong admin for the call count and total hours
  • Fireflies, Otter, Fathom, GranolaWhere to read the size:Account settings show minutes transcribed; hours × 1 MB is a fair estimate for text
4

Documents, drives and wikis

Specs, proposals, SOWs, runbooks, postmortems, board decks, internal wikis. Long-form structure with revision history is priced above flat exports.

  • Google Drive (shared drives)Where to read the size:admin.google.com → Reports → Apps reports → Drive, or Storage in the admin home
  • SharePoint and OneDriveWhere to read the size:admin.microsoft.com → Reports → Usage → SharePoint site usage and OneDrive usage
  • Dropbox BusinessWhere to read the size:Admin console → Insights → Storage
  • BoxWhere to read the size:Admin Console → Reports → Usage
  • NotionWhere to read the size:Settings → Workspace → Usage shows pages and file uploads
  • ConfluenceWhere to read the size:Site administration → Billing → Storage
  • File servers and NASWhere to read the size:Disk usage of the shared folders, from IT
5

Tickets and support history

Problem, diagnosis, resolution, thousands of times over. The cleanest reasoning traces most companies own without realising it.

  • ZendeskWhere to read the size:Admin Center → Account → Usage → Data storage
  • FreshdeskWhere to read the size:Admin → Account → Plans and billing shows attachment storage; ticket count under Reports
  • IntercomWhere to read the size:Reports → Conversations shows totals; there is no storage figure, use conversation count
  • ServiceNowWhere to read the size:System Diagnostics → Stats, or ask your platform owner for table sizes
  • Help Scout, HubSpot Service, FrontWhere to read the size:Conversation count from reports; storage is rarely shown and the count is enough
6

Project and task history

Issues, comments, status changes, sprint notes and the discussion attached to each. Priced on the depth of the comment threads, not the ticket count.

  • JiraWhere to read the size:Site administration → Billing → Storage, plus issue count from any board
  • AsanaWhere to read the size:Admin console → Insights; no storage figure, use task count
  • TrelloWhere to read the size:Board and card count; attachments live on the cards
  • Monday.comWhere to read the size:Admin → Usage stats
  • Linear, ClickUp, Basecamp, WrikeWhere to read the size:Workspace settings show item counts; that is enough
7

CRM and sales correspondence

Notes, call logs, email sequences, account histories and deal narratives. Priced on depth of narrative, not on record count.

  • SalesforceWhere to read the size:Setup → Storage Usage shows data and file storage exactly
  • HubSpotWhere to read the size:Settings → Account management → Usage and limits
  • Microsoft Dynamics 365Where to read the size:Power Platform admin center → Resources → Capacity
  • PipedriveWhere to read the size:Settings → Company → Usage; deal and note counts from Insights
  • Zoho CRMWhere to read the size:Setup → Data Administration → Storage
  • Close, Copper, Attio, Kommo, RD StationWhere to read the size:Record and note counts from each tool's reports
8

Operational and industry systems

Vertical-specific exhaust: job notes, claims, field reports, work orders, engineering logs. Under-represented industries carry a scarcity premium.

  • NetSuite, SAP, Oracle, TOTVS, OdooWhere to read the size:Ask your ERP admin for the database size and years of history
  • Procore, Buildertrend, Autodesk Construction CloudWhere to read the size:Company admin → Documents storage, plus project count
  • Guidewire, Duck Creek, Applied EpicWhere to read the size:Claims and policy counts by year from the reporting module
  • Epic, Cerner, athenahealth exportsWhere to read the size:De-identified exports only; ask your compliance lead for record counts
  • Snowflake, BigQuery, RedshiftWhere to read the size:Warehouse storage dashboard shows bytes by database
  • GitHub, GitLab, Bitbucket (code, issues and PRs)Where to read the size:Repository count and total repo size: organization settings → Repositories, or the storage/usage page

If you cannot find the number.

Mailboxes run 2 to 5 GB per employee per year of retention. Chat runs about 10% of that. Drives are whatever the admin dashboard says. Tickets and CRM are counted in records, and 100,000 records is roughly a gigabyte of text.

Rough is fine. A number within a factor of two is enough to price. If a platform is missing, it is almost certainly still something we buy; put it in the notes.

You already own it. Now sell it.

Send your platforms and sizes and the written offer follows inside one business day. It costs nothing to find out what the number is.
